The Challenge
A prominent Federal agency recently faced significant challenges with data and access management on their shared drives. A governance review revealed that the agency was out of compliance with its data management practices, posing a risk to the integrity and security of sensitive data. With only a small ITS team available to handle the issue, the agency needed expert assistance to address these concerns and regain compliance.

Using tools like TreeSize Professional, Tableau, Splunk, and Stealth Audit, we analyzed data usage and configurations.
Next, we classified and tagged data to enhance visibility and control, ensuring that sensitive data was appropriately protected and managed. We then implemented robust access control measures to ensure only authorized personnel could access sensitive data, and remediated existing access control issues to meet compliance requirements. Comprehensive documentation and reporting mechanisms were developed, including a Tableau dashboard for real-time tracking and reporting to the executive team. We also generated knowledge-based articles and active surveys to facilitate ongoing education and compliance, and created workflows in ServiceNow to manage changes while maintaining compliance.
Finally, we collaborated with the agency’s education team to develop mandatory training courses for sponsors and stewards, ensuring that all relevant personnel were informed and equipped to manage data and access controls effectively.

The engagement has yielded significant improvements in data management and compliance. The agency has regained compliance with governance requirements, with all milestones met and verified. Ongoing & Future Work
Currently, Jeskell Systems is in the remediation phase, focusing on naming conventions and further refining data management practices.
